At TN United Kingdom, Ltd. (hereafter referred to as ‘our company’) we recognise the significance of personal information and consider it our social responsibility to protect it appropriately.

In relation to all of our business operations, every employee of our company strictly adheres to any laws and other regulations regarding the protection of personal information, striving to establish and continuously manage and improve our Data Protection Policy.

Our company shall strictly adhere to the law concerning personal information protection (hereafter referred to as the “law”) and other related regulations.

  • Our company will stipulate regulations regarding the appropriate handling of personal information in collecting, using & providing it. All our employees will be informed of these regulations and enforced to adhere to them.

As we are responsible for the protection and management of personal information, our company assigns a Data Protection Officer to safely manage personal information we obtain and provide safety measures to prevent inappropriate access or abuse, loss, destruction, tampering and leakage of the personal information it has obtained.

2. Purpose of use of personal information

Our company will obtain personal information necessary for our business operations. Our company will use the personal information within the scope of our business for the purposes stated in the following:

You provide several pieces of data to us directly during the contract negotiation period and subsequently upon the start of your engagement, for example, your bank details. We collect data and process data when you:

  • Voluntarily complete a customer survey or provide feedback to us

5. How will we use your data?

Our company collects data so that we can:

  • Process your orders & manage your account

We may share anonymised customer information, such as sanitised engineering drawings and product specifications with third parties to perform on your behalf. The sharing of such information is strictly controlled, and is necessary to ensure the quality of our products and services. Consent will be obtained, for such sharing, where legally required.

Employees within our company who have responsibility for procurement, project management, IT, sales, administration of payment and receipts, and carrying out of performance related procedures will have access to your data. All employees with such responsibility have been trained in ensuring data is processed in line with Data Protection Act 2018.

Our company may share your data with our parent/sister companies so that they may offer you their products and services which we think you would like. We do also share your data with countries outside the European Economic Area, for internal reporting processes. We have put the following measures in place to ensure your data is transferred securely.

  • UK standard data protection and processing agreement has been adopted.

In some cases, we will collect data about you from third parties, such as intermediaries and/or credit reference agencies. This data will be processed in line with the law.

6. How do we store your data?

Our company securely stores your data at TN United Kingdom, Ltd. Personal data is either kept in secure files or within the company’s IT system. Documents within the IT system are password protected, and supported fully by up-to-date firewalls and anti-virus software.
Our company will keep your data for a minimum of seven years.

The law on data protection allows us to process your data for certain reasons only. In the main we process your data to perform the contract we have with you or in pursuit of legitimate interests.

Generally, we will process special categories of data when the following applies:

When outsourcing the handing of personal information - In cases where the handling of personal information is outsourced to a third party, our company will select appropriate agents on the condition that they have the management structure to ensure appropriate data protection handling with these agents. Furthermore, our group will supervise them with appropriate attention.

10. Automated decision making

Automated decision-making means making decisions about you using no human involvement e.g. using computerised filtering equipment. No decision about you will be solely made on automated decision-making (where a decision is taken about you using an electronic system without human involvement) which has a significant impact on you.

The Company reserves the right to update this Notice and any other relevant policies or procedures at any time. Any substantial changes that we make to this Notice in the future will be provided to you by post or email depending on your preferred method of contact and posted on our website. The Company may also notify you in other ways from time to time about the processing of your data.

12. Suspension of use or deletion of personal information

Please contact us using the following contact information when requesting disclosure, correction, suspension of use, deletion and other handling of personal information obtained by our company.

Upon verifying the client’s identity or confirming the client’s affiliation to a company or organisation, we will carry out your request in good faith within reasonable time and scope.

Please understand that some of our company’s services may not be available after suspending the use of, or erasing or deleting personal information.

Making a complaint

If you think your data rights have been breached, you should first raise your concern with the Compliance Officer (see below). If you are unsatisfied with the response, you should refer the matter to the Information Commissioner Officer (ICO).
